An AI assistant for finance directors: reporting, budget vs actuals and the payment calendar

Decisions about money stay with you. The assistant takes over merging bank, accounting and spreadsheet exports into one report, calculates budget against actuals, keeps the payment calendar and writes the first draft of the commentary for the owner.

An AI assistant for a finance director: budgets, plan-versus-actual and commentary
Budgets, plan-versus-actual and the written commentary are assembled the same way every time.

What it does

What it does not do

The limits are set in advance

How much time it frees up

By our reviews, a finance director spends roughly 15 hours a week on the routine listed above — more than a third of the working week. The assistant does not take all of it: some tasks you will still be checking. But checking something finished is faster than doing it from scratch, and the gain lies in exactly that difference.

How it works

The assistant works with your own documents and exports rather than abstract examples. The checking rules are written once and then applied identically every time — which is exactly its advantage over a tired person at the end of a quarter.

How the assistant handles a finance director's tasks

A period report without merging by hand

A bank statement, an export from the accounting system, a spreadsheet from sales and the accountant's Excel of expenses — four formats, four charts of accounts. The assistant maps them to your single chart, builds the monthly cash flow and P&L in your format and shows which transactions could not be allocated unambiguously. You check ten contested lines instead of reconciling a thousand.

Budget vs actuals with the material items on top

A 3% variance on rent and a 40% variance on marketing are different events. The assistant calculates budget against actuals for every line and cost centre, applies your materiality thresholds and surfaces only what needs attention: amount, percentage and the reason if it is visible in the transactions. The rest goes into the appendix, in case of questions.

A payment calendar and cash gaps seen in advance

The assistant collects obligations from contracts, invoices and schedules: payroll, taxes, rent, suppliers, loans. It overlays expected receipts and shows on which day three weeks from now the balance goes negative. It warns ahead of time rather than on the payment day and suggests options: shift, split, draw on the reserve — the decision is yours.

Allocation of transactions and catching the unusual

Transactions are allocated to lines by your rules and history. If a payment to a supplier is twice the usual, if a new payee appears, if the description does not match the line — the assistant flags it and asks. That is the control there is usually no time for at month end.

Report commentary for the owner

Figures without an explanation produce questions in the chat at ten in the evening. The assistant drafts a one-page commentary: what happened to revenue, margin and cash, why, and what it means for next month. In your wording, without "the dynamics demonstrate". You edit two paragraphs and send.

What the dialogue looks like

You: Build the August report: bank, accounting export and the sales sheet are in the folder. The plan is in the annual budget.

Assistant: Report built. 14 transactions totalling ₽312k are unallocated — list attached. Budget vs actuals shows three material variances: marketing +38%, logistics +21%, wholesale revenue −12%. Everything else is within thresholds.

You: Marketing is a payment carried over from July, note that. What about cash for September?

Assistant: Noted. The payment calendar shows the balance going to −₽1.4m for two days on 24 September because taxes and rent fall on one day. Options: move rent to the 26th under the contract or cover from the reserve. The draft commentary for the owner is ready.

What we need from you at the start

Implementation timeline

The first conversation — which reports you build, from what, and how long it takes. Setting up for your charts and formats — five to seven days. One reporting period in parallel: the assistant builds, you compare with what you would have done yourself. From the second period the check takes an hour instead of two days.

Frequently asked questions

Does the assistant get access to the accounts?
No. It works with exports and read-only data: statements, reports, spreadsheets. It does not make or initiate payments and cannot control the money.
What about the confidentiality of financial data?
Data is processed within a perimeter we agree with you at the start — with access separation and no transfer to third parties. A confidentiality agreement is signed before work begins.
Will the assistant replace the accountant or the accounting system?
No. Bookkeeping and tax reporting stay in the accounting system and with the accountant. The assistant works on top: it assembles the management picture from what already exists, and does it faster than by hand.
What does it cost and what do I pay for later?
Task review and configuration of one assistant — from ₽12,000 (≈ $142), usually 5–7 days; for several legal entities and complex charts the timeline and price are confirmed after the review. Then support from ₽4,000 (≈ $47) a month if you need changes and new scenarios; without support the assistant keeps working.
