An AI assistant for fitness trainers: programmes, logs and messaging between sessions

Training is your job. The assistant builds programmes on your principles, keeps clients' logs, answers the routine questions between sessions and sends reminders about workouts and payment.

An AI assistant for a fitness trainer: training plans, client logs and reminders
Training plans, client logs and session reminders are the work between the sessions.

What it does

What it does not do

The limits are set in advance

How much time it frees up

By our reviews, a fitness trainer spends roughly 11 hours a week on the routine listed above — more than a third of the working week. The assistant does not take all of it: some tasks you will still be checking. But checking something finished is faster than doing it from scratch, and the gain lies in exactly that difference.

How it works

The assistant answers clients while your hands are busy — that is the whole point. It books, reminds and keeps each client's history, so what you see is a finished schedule rather than forty unread messages at the end of a shift.

How the assistant lightens the trainer's load

A monthly programme by your method

A new client: goal, limitations, three sessions a week. You set the framework — which movements, which progressions, what to exclude because of the back. The assistant expands this into a four-week programme with sets, reps and load progression by your rules, formatted the way you usually hand it out. You tweak a couple of exercises and send it. The assistant never takes a programme "from the internet" — only what you put in.

A log the client keeps themselves

After a session the client writes in the messenger: "bench 60 for 8, squats 80 for 6, back was aching". The assistant enters this in the log, notes progress against last week and highlights the worrying part — "back" — so you see it first. You look at one summary across all clients, not twenty conversations.

The questions you have answered a hundred times

"Can I eat after eight", "what if I missed a session", "which shoes to get" — the assistant answers in your own words from a prepared base. Questions about pain, wellbeing and load changes it does not take — it passes them to you marked "urgent".

Reminders, cancellations and package payments

Two hours before a session the client gets a reminder; if they cancel, the assistant offers a reschedule within your available slots. It counts how many sessions are left in the package and, two sessions before the end, reminds them to renew — you don't have to keep it in your head or in a notebook.

What the dialogue looks like

You: Marina, second month, goal — leg strength, knees fine, three times a week. Squat progression +2.5 kg per week, add Romanian deadlift.

Assistant: Built a 4-week programme from your template: squats 4×6 with +2.5 kg steps, Romanian deadlift 3×10, lunges and calves unchanged. Week three is a deload per your rule "every third week minus 20%". Send it to Marina or to you first for review?

You: To me, I'll look at it tonight. And remind her that the package is ending.

Assistant: The programme is in your drafts. Sent to Marina: "2 sessions left in your package, you can renew via the link".

What we need from you at the start

Implementation timeline

Reviewing the tasks is one conversation; setting up the programme templates and the answer base takes three to four days. In the first week the assistant builds programmes and summaries and you check every one. By the second week it works independently and you spot-check.

Frequently asked questions

Won't it start "coaching" instead of me?
No. The programme is built only by your rules; any question about load, pain or wellbeing is forwarded to you. The assistant handles formatting and organisation, not coaching decisions.
Will it work for online coaching?
That is the most convenient case: logs, programmes and messaging already go through the messenger, the assistant simply takes the routine off you.
How many clients can it handle?
There is no limit. With twenty or more clients, summaries instead of conversations save the most time.
Can I start with reminders and payments only?
Yes. That is often where people start, adding programmes and logs a couple of weeks later once the result is visible.
