AI assistant for real estate agents: listings, initial correspondence and viewings without lost enquiries

Negotiations and deals are your territory. The assistant prepares listings for a property, answers buyers' first questions, screens out irrelevant enquiries, schedules viewings and keeps the deal documents in order.

AI assistant for an estate agent: listings, shortlists and client correspondence
A listing description and a shortlist get written from scratch for every client, and come out nearly the same.

What it does

What it does not do

The limits are set in advance

How much time it frees up

By our reviews, an estate agent spends roughly 13 hours a week on the routine listed above — more than a third of the working week. The assistant does not take all of it: some tasks you will still be checking. But checking something finished is faster than doing it from scratch, and the gain lies in exactly that difference.

How it works

The assistant answers clients while your hands are busy — that is the whole point. It books, reminds and keeps each client's history, so what you see is a finished schedule rather than forty unread messages at the end of a shift.

How the assistant handles an agent's routine

A listing from photos and ten facts

You send the property photos and a short summary: floor area, floor, year built, condition, what is nearby. The assistant writes a listing for each platform by its rules and in your style: no clichés, with what a buyer looks for first. You edit a phrase or two and publish.

Initial correspondence and screening

After publication comes the flood: "still available?", "negotiable?", "mortgage?". The assistant replies from the property facts and your rules, asks qualifying questions — payment method, timing, for themselves or an investment — and brings you warm contacts with a completed card. To "negotiable?" it replies that this is discussed at the viewing.

Viewings that don't overlap

The assistant agrees the viewing time with the buyer and the owner, puts it in your calendar allowing for travel between properties, and reminds both sides two hours before. If the buyer cancels, it offers the slot to the next person on the list.

Deal documents under control

The list of documents for the specific type of deal, who must bring what and by when. The assistant tracks what has been received, reminds the parties about what is missing and prepares drafts of standard documents from your templates. Checking and signing are yours.

A report for the owner

How many views, calls, viewings, which objections come up most often. The assistant compiles a weekly report for the owner from its own data; you add the price recommendation.

What the dialogue looks like

Customer: Hello, is the flat on Gagarina still available? Is the price negotiable?

Assistant: Hello! Yes, it is available, viewings are taking place this week. The price is discussed at the viewing with the agent. Are you planning to buy in cash or with a mortgage, and in what timeframe?

Customer: The mortgage is approved, we want to close by the end of the month.

Assistant: Great, then the timing works. For a viewing there is Wednesday 18:30 and Saturday 12:00 — which suits you better? The agent will confirm and call you back.

What we need from you at the start

Implementation timeline

The review is one conversation. Setting up listings and correspondence takes three days. In the first week the assistant replies under your supervision and you see every message. From the second it works on its own; you receive only qualified contacts and questions outside the rules.

Frequently asked questions

Won't it quote a price below the one in the listing?
No. Any talk of lowering the price the assistant redirects to the viewing and to you. The terms of the deal are yours alone.
Platforms block accounts for identical listings.
Listings are written for each platform separately and from the facts of the specific property, not from a template — no duplicates result.
I work at an agency, we have a CRM.
The assistant prepares contact and property cards in your CRM's format; if you wish, it enters them there itself on your instruction.
Rentals or sales?
Both. For rentals the assistant also manages the queue of viewing requests and checks that the tenant has sent the required documents.
