An AI assistant for project managers: statuses, client reports and the risk register

People, priorities and negotiations with the client stay with you. The assistant takes what eats half the day: collecting statuses, the weekly report, turning chat into tasks, the risk register and meeting minutes.

An AI assistant for a project manager: plans, status updates and meeting notes
Plans, status updates and meeting notes keep a project alive, and every one of them follows a template.

What it does

What it does not do

The limits are set in advance

How much time it frees up

By our reviews, a project manager spends roughly 12 hours a week on the routine listed above — more than a third of the working week. The assistant does not take all of it: some tasks you will still be checking. But checking something finished is faster than doing it from scratch, and the gain lies in exactly that difference.

How it works

The assistant plugs into the channels where the work already happens: email, messengers, spreadsheets. It does not require the company to move to a new system — on the contrary, it works through what has piled up in the current one.

How the assistant handles a project manager's tasks

Statuses without a morning round of the team

Instead of "how are the tasks going, everyone" in the group chat, the assistant collects the movement from the tracker itself: what is closed, what slipped, what has sat unchanged for more than two days. It asks the assignee a targeted question if the deadline is today and the status has not moved. By ten in the morning you have a summary on screen: three tasks stalled, two with a reason, one with no answer.

A weekly client report from facts, not from memory

On Friday the assistant builds the report from your template: what was done this week with links to tasks, what is in progress, what was moved and why, what is needed from the client. Business tone, no excuses and no "overall things are fine". You edit two paragraphs on priorities and send. The client sees the same structure every week and stops calling to ask "where are we".

From a chat discussion to tasks with owners

A half-hour chat discussion ends in three decisions nobody wrote down. The assistant reads the thread and proposes: task, owner, deadline, definition of done — for your confirmation. After your "ok" the tasks appear in the tracker and the participants get a notification. A week later nobody says "I thought someone else was doing that".

A risk register that speaks up by itself

The risk "the contractor may miss the API deadline on the 15th" is written down on Monday and forgotten by Wednesday. The assistant keeps the register: description, probability, impact, owner, trigger. When the trigger fires — the deadline approaches and the task is not moving — it raises the risk and proposes the prepared plan: what to do, whom to warn. A risk becomes a problem in front of you, not behind your back.

Meeting minutes ten minutes after the meeting

The client call ends — from the recording or your notes the assistant prepares the minutes: decisions, tasks with owners and deadlines, open questions, the next meeting. It sends them to the participants and puts the tasks into the tracker after your confirmation. A month later the argument "we agreed otherwise" is settled with a link to the minutes.

What the dialogue looks like

You: Morning summary for the "Customer Account" project. What has stalled?

Assistant: Three tasks stalled: payment integration — waiting for keys from the client for the fourth day; profile layout — the assignee is off sick, due tomorrow; API tests — no status for two days, I asked the assignee, no reply. The other 14 tasks are on schedule.

You: Write to the client about the keys on my behalf; the layout is a risk, put it in the register. Are yesterday's minutes ready?

Assistant: The email about the keys went to the client, copy to you. Risk "profile layout, deadline slips 2–3 days" added, owner — you, plan: hand it to the second front-end developer. Minutes ready: 4 decisions, 6 tasks, 2 open questions — waiting for your "ok" to put the tasks into the tracker.

What we need from you at the start

Implementation timeline

The first conversation — how many projects are running and what share of the day goes on collecting statuses and reports. Setting up for your tracker and templates — three to four days. A week of working in parallel on one project: the assistant builds summaries and the report, you check. Usually from the second week the report needs one or two paragraphs edited, and the summary is accepted as is.

Frequently asked questions

Will the assistant nag the team instead of me?
It asks targeted questions about tasks due today with no status — politely and by your rules. Pressure, reassigning people and conversations about priorities stay with you; the assistant only brings you the facts on time.
Will the client realise an assistant prepares the report?
The report goes out in your name after your review, from your template and in your tone. The assistant does not negotiate deadlines or scope changes with the client — it only delivers your wording.
Which tracker does it work with?
Any that has an export or an API: Jira, YouTrack, Notion, Trello, Bitrix24 and others. If there is no tracker, it keeps the tasks in a spreadsheet the whole team can see.
What does it cost and what do I pay for later?
Task review and configuration of one assistant — from ₽12,000 (≈ $142), usually 5–7 days. Then support from ₽4,000 (≈ $47) a month if you need changes and new scenarios; without support the assistant keeps working.
