AI-based autonomous organization: a long meeting-room table in sunset light

A team of AI employees for your company

We design and launch an autonomous organisation: AI employee roles, procedures, a shared task queue and a coordinator running it. Decisions about money stay with you.

Updated: 20 September 2026

In short

AI business automation at OM-Digital is a staff of AI employees built around your processes: process analysis and a structure map from 25,000 ₽, a playbook for one role from 12,000 ₽, a turnkey launch of one role from 37,000 ₽, a full staff of 8 roles in 30 days from 235,000 ₽. AI roles do the repetitive work by playbooks; money decisions and edge cases stay with people. It runs our own company: 8 terminals handle orders, the website, correspondence and reports.

Let us take it in order

What an autonomous AI-run organisation is and who needs one

An autonomous organisation is not “installing a chatbot”. It is a company in which repetitive work is done by AI employees: each has its own role, its own procedure and its own area of responsibility, with a coordinator above them handing out tasks and watching deadlines. The person stays where decisions are made: price, contract, a dispute with a client, strategy.

The easiest way to test whether you need such a system is one question: how many hours a week do your people spend on things that repeat almost unchanged? The first reply to an enquiry, a reminder to a client who forgot, assembling a standard document, pulling together the daily report. In the companies whose processes we have mapped, that came to twenty or thirty hours a week — more than half a salary spent on work nobody enjoys doing.

How this differs from “adopting AI”

Ordinary AI adoption looks like this: staff are given access to a model and asked to use it. A month later it turns out two people use it, each in their own way, and the result depends on how each phrased the request. An autonomous organisation works the other way round: first the role and the rules it works by are written down, and only then is a model attached to that role. The result is then reproducible rather than dependent on mood and skill.

What the work consists of

Plainly about the limits

An AI team removes routine and holds the pace, but it does not replace the owner and does not decide about money. In the system we build, those questions always go to a person — that is protection, not a limitation. And one more thing: in the first two weeks after launch the procedures will have to be corrected. Anyone promising a working system without that stage has either never launched one themselves or will leave you to deal with the consequences alone.

How long it takes

A standard rollout takes 30 days, and that is not the time to write documents but the time for the roles to start genuinely working on your tasks. The first two roles are usually running by day ten: we start with the ones that pay off immediately — handling incoming enquiries and bringing back forgotten clients. The rest are added in waves, so your team has time to adjust.

What is included

A map of your processes

We work out what your people spend their time on and count the hours. Separately: what goes to AI, what stays with a person and in what order we roll it out.

The structure of the team

AI employee roles built around your work: taking enquiries, production, finding clients, reporting, quality control. Each has its own area and its own limits.

A procedure for every role

The document a role works by: what it does, what it never does, who it hands the result to and what counts as finished.

A task queue and a coordinator

One shared queue for the whole company. A role does not pick its own task — the coordinator assigns it, and the same coordinator raises the alarm if a role stalls.

A log and a daily report

Every action is written to an archive, and a summary arrives each evening: what was done, what went to a person, where something failed. The history can be pulled up for any day.

Handover and training

You run the system yourselves: we hand over the documentation, train your person and show how to edit the procedures without a contractor.

This is how we work ourselves

This is not a concept from a slide deck. Since June 2026 OM-Digital has been built exactly the way we propose to build yours, and it serves real clients — which is why we know what breaks in such a system in the second week, and why.

🗂️

Eight roles, each with its own procedure

Production, client intake, finding work, finance and legal, development, internal audit — separate roles with written limits, rather than one universal assistant for everything at once.

🧭

The coordinator and the shared queue

Every task lands in one queue; the coordinator assigns an owner and watches the deadline. A task with no addressee is picked up by nobody — that rule cures the main disease of any system like this.

🕒

Around the clock, nights and weekends included

A client who writes at night gets an answer at night. Roles do not take sick leave or holidays, and nobody spends the morning working through yesterday's untouched enquiries.

🛡️

Decisions about money always stay with a person

Discounts, contracts and disputes are not decided by the roles; they go to the owner. That is written into the procedures from day one and protects the business rather than restricting it.

A team of AI employees instead of hiring

AI employees are neither a metaphor nor a wholesale replacement for people. They are a way to cover the roles where work repeats every day and speed matters more than experience: handling enquiries, reminders, assembling standard documents, reporting. Those roles need no hiring, take no sick days and no holidays — and make no decisions: everything touching money and commitments stays with a person.

Bringing AI into a company starts not with choosing a model but with mapping the processes. Until it is clear what actually happens each day and what it costs in hours, any AI will be a useful toy in one employee's hands rather than a system. So we count first, then draw the structure, and only then write the procedures and attach the models.

Frequently asked questions

Will this replace my staff?

No, and we will not promise it. The AI roles take the repetitive work; people stay where decisions and human contact are needed. In practice the effect is different: staff stop spending half the day on routine and start doing what you hired them for.

How long does the rollout take?

A standard rollout takes 30 days. The first two roles are usually working by day ten, and the rest are added in waves. Two weeks after launch go on correcting the procedures against what real work reveals: that stage is included and cannot be skipped.

Do I need technical knowledge?

No. From your side we need one person who makes decisions and can answer questions about the processes. Setup, code and connecting the models are ours, and at the end we show you how to change the procedures without us.

What if a role makes a mistake in a client conversation?

The limits are set in advance: a role never quotes below the price list, never promises unapproved deadlines and never argues a disputed case on its own — it passes those to you. On top of that, a separate role checks the result against a checklist before the client sees it, and every action is logged, so any episode can be reconstructed afterwards.

Who owns the system after handover?

You do. The procedures, the configuration and the documentation are handed over in full, and the system is meant to run on your infrastructure and your accounts. We make a point of not keeping clients' systems on our side: that would tie you to a contractor for good.

And if the business changes in six months?

The procedures are written as separate documents precisely so they can be changed one at a time without rebuilding the system. Your own person does that — we teach it at handover. If a major rebuild is ever needed, we will help with that as a separate job.
