AI assistant for pastry chefs: orders, pricing and messaging while your hands are in the cream

Baking and decorating are yours. The assistant takes orders and clarifies the details, calculates the price and weight, keeps the pickup calendar and reminds clients about deposits and collection.

AI assistant for a pastry chef: costing, orders and menus
Costing and order intake follow the same rules every single time.

What it does

What it does not do

The limits are set in advance

How much time it frees up

By our reviews, a pastry chef spends roughly 11 hours a week on the routine listed above — more than a third of the working week. The assistant does not take all of it: some tasks you will still be checking. But checking something finished is faster than doing it from scratch, and the gain lies in exactly that difference.

How it works

The assistant lives on your phone and works by voice or short messages — there are no complicated programs to log into. It counts, records and reminds while you get on with the job you were called in for.

How the assistant handles order intake for a pastry chef

An order taken with every detail

"I want a birthday cake" — and then twenty follow-up questions. The assistant asks them from your list: date, weight or number of guests, filling from your menu, decoration, inscription, allergies, delivery or pickup. You receive a completed order card, not a forty-message conversation.

A price from your calculator

Weight, filling, decoration complexity, urgency, delivery — the assistant calculates by your rules and gives the client the price straight away, without "I'll check and get back to you". It gives no discounts; if the client asks, it passes it to you.

Pickup calendar and deposits

The assistant keeps the calendar with pickup dates and reminds you of the week's workload; the client gets a reminder about the deposit after confirmation and about pickup the day before. An order without a deposit by the deadline is flagged so you can decide whether to bake or not.

A shopping list for the week's orders

From confirmed orders the assistant compiles a list of ingredients from your recipes: how much flour, butter, berries. You note what is left in stock, the assistant subtracts it and tells you what to buy.

A photo of the finished cake and a review

After pickup the assistant sends the client a thank-you and, a few days later, a request for a review in your wording. Reviews are collected in one place for social media and the website.

What the dialogue looks like

Client: Hello! I need a cake for Saturday, for about 12 people, chocolate.

Assistant: Hello! For 12 people a cake of about 2 kg will do. Chocolate fillings on this menu: "Chocolate cherry", "Three chocolates", "Chocolate salted caramel". Decoration — cream, with berries or with an inscription? And pickup or delivery?

Client: Three chocolates, with the inscription "Happy birthday, Lena!", delivery.

Assistant: Booked: Saturday, 2 kg, "Three chocolates", inscription, delivery. The price per the list is [amount] including delivery. A 50% deposit confirms the order; I'll send the payment details as soon as you give me the address and a convenient delivery time.

Implementation timeline

The review is one conversation. Setting up order intake and the calculator takes two to three days. For a week the assistant runs the messaging under your supervision, from the second on its own. Recipe-based purchasing is added once orders are already coming through it.

Frequently asked questions

Clients write on social media, not in the messenger.
The first reply on social media can lead to the messenger with a ready link — almost everyone does it this way, and clients switch without fuss.
Won't it promise a cake for tomorrow when I'm busy?
No. The assistant sees your calendar and the minimum lead time; for tomorrow it will offer only what you have allowed as rush orders, or politely decline.
My prices change seasonally.
You change them once in the price list — the calculator uses the new ones. Existing orders stay at the old price.
Can I start without the calculator, with order intake only?
Yes. Then the assistant compiles the order card and you give the price. The calculator is added later.
