AI assistant for auto mechanics: intake, estimates and client communication while you are under the car

The repair is yours. The assistant takes in requests and clarifies symptoms, prepares the work order and estimate from your price list, sources parts from your suppliers, keeps the client informed and reminds them about servicing.

AI assistant for a car mechanic: work orders, job costing and parts requests
Work orders, job costing and supplier requests are the paperwork half of the shift.

What it does

What it does not do

The limits are set in advance

How much time it frees up

By our reviews, a car mechanic spends roughly 11 hours a week on the routine listed above — more than a third of the working week. The assistant does not take all of it: some tasks you will still be checking. But checking something finished is faster than doing it from scratch, and the gain lies in exactly that difference.

How it works

The assistant lives on your phone and works by voice or short messages — there are no complicated programs to log into. It counts, records and reminds while you get on with the job you were called in for.

What the assistant does for the mechanic between cars

Intake with the questions you would ask yourself

A client writes: "knocking at the front over bumps". The assistant clarifies: when it started, left or right, when turning or going straight, make, year, mileage, last service — from your list of questions. It asks for a photo or a video of the noise. By the time you inspect the car you have a card, not "well, it knocks".

Work order and estimate from the price list

After diagnostics you dictate: "both stabiliser links, front arm bushings, wheel alignment". The assistant assembles the work order: labour at your standard hours, parts from supplier price lists, a total with "original / aftermarket" options. The client gets a clear estimate once you have checked it.

Parts: availability, lead time, price

The assistant checks the items with your suppliers by part number, compares price and lead time, and prepares the order. You confirm — the order goes out; the client is told when the car will be ready.

The client stays informed without phone calls

"Took it apart, also found a torn boot, +[amount], shall we do it?" — the assistant sends such messages on your behalf in your words and collects the go-ahead. The "ready for pickup" status goes out by itself too.

Reminders about servicing and seasonal work

Based on repair history the assistant reminds clients about scheduled servicing, oil changes by mileage, tyre changes in season. One message, in your wording, no spam.

What the dialogue looks like

Client: Hello, I have a 2019 Kia Rio, there's a knocking at the front over bumps, especially on the left.

Assistant: Hello! What is the mileage and when did it start — suddenly or gradually? Does the knock change when turning? If you can record the sound on video, it will help the mechanic. For suspension diagnostics there are slots tomorrow at 10:00 and 15:00.

Client: Mileage 92 thousand, about two weeks, seems the same when turning. Tomorrow at 10.

Assistant: Booked for tomorrow at 10:00, suspension diagnostics — [amount] per the price list; if we do the repair, it counts towards the cost of the work. I've passed the symptom card to the mechanic.

Implementation timeline

The review is one conversation. Setting up intake, the price list and suppliers takes three to four days. In the first week the assistant takes requests and prepares estimates under your supervision; from the second, on its own. Servicing reminders are switched on once history builds up.
